Cancellation Policy

Booking Reservation & Payment • Your session is confirmed once payment is received (deposit or full, depending on your booking selection). • If you book with a deposit, the remaining balance is due 72 hours before your session. We will send a payment link to your booking email. Intake Form (Required) • After booking, you’ll receive a one-time FRAMED Project Intake + Release form. Your session is not considered fully confirmed until the form is completed. Arrival • Please arrive 10 minutes early. • Late arrival reduces your session time to protect the schedule. ⸻ Cancellation Deposits • Deposits are non-refundable. They reserve your slot and cover production planning. If you paid in full • Cancellations more than 7 days before the session: refund minus a $150 admin fee. • Cancellations within 7 days of the session: non-refundable. (If you want a softer policy, change 7 days to 10 days. If you want stricter, remove refunds entirely.) No-shows • No-shows are not refundable and cannot be rescheduled. ⸻ Rescheduling One reschedule allowed • Each booking includes one reschedule with at least 72 hours notice, subject to availability. • Rescheduling with less than 72 hours notice may require a $150 reschedule fee (or may forfeit the deposit—choose one). If the event date changes • If FRAMED Project must reschedule due to a production or location issue, you may transfer to the next available session date or request a refund of any amount paid beyond the deposit. ⸻ Waitlist How the waitlist works • If a session time sells out, you can join the waitlist. • If a spot opens, we notify the waitlist in order. The first person to complete payment secures the slot. Hold time • Open spots are held for 2 hours after notification. After that, the spot is offered to the next person. Waitlist priority • FRAMED Project may prioritize waitlist placement for nominees, partners, or urgent scheduling needs, but we aim to keep the process fair and transparent. ⸻ Publishing & Usage (Archive) FRAMED Project is an archive • By booking, you grant FRAMED Project and EmpathyFilms permission to publish, repost, and archive your portraits and filmed profile as part of FRAMED Project, including on Substack and social platforms, for promotional and archival use. • FRAMED Project may edit the filmed profile for length and clarity while preserving your meaning.
